An insurance renewal application has a new section this year. It asks how a company governs AI use, what data its AI tools touch, and whether anyone reviews AI output before it reaches a customer. For a company with 10 to 200 people, that section is hard to answer, because most small companies have never written any of it down. The owner knows the tools in general terms. Nobody has a list. Nobody has a rule for what staff may paste into a chatbot. An insurer reads a blank answer the same way a big customer does: as risk it cannot price. The same gap shows up on customer questionnaires, lender due diligence checklists, and subcontractor packets. The question is no longer whether a small company uses AI. It is whether anyone wrote down how AI is used, what data it touches, and who checks the work before it leaves the building.
The fix is smaller than people expect. List every AI tool, write down what data each one touches, put one page of rules in front of staff, and keep a sign-off sheet showing they read it. That is the whole job, and it fits in an afternoon once the templates exist.
PlainComply sells the SMB AI Compliance Kit for $99 one time. It contains five documents: an AI Use Policy template, an AI System Inventory spreadsheet, a vendor questionnaire response pack, chatbot disclosure templates, and an employee AI training checklist. It comes with a 14-day money-back guarantee. A free one-page AI Readiness Checklist is available at https://plaincomply.com/PlainComply-AI-Readiness-Checklist.docx and the kit is at https://plaincomply.com
