Privacy Policy
1. Introduction
SubmitPR Free ("we", "us", "our") operates https://submitpr.org (the "Site"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our Site or submit a press release. Please read this policy carefully. If you disagree with its terms, please discontinue use of the Site.
2. Information We Collect
Information you provide directly:
- Press release submissions: When you submit a press release, we collect your name, email address, company name, company website, phone number, and address, along with the content of the press release itself. This contact information is published on the Site as part of the press release media contact section.
- Account registration (optional): If you create an account, we collect your name, email address, and a hashed password. We never store plain-text passwords.
Information collected automatically:
- Usage data: We may collect information about how you interact with the Site, including pages visited, time spent, and referring URLs — primarily through Google Analytics (see Section 5).
- IP addresses: Logged temporarily for rate-limiting abuse prevention and removed from active logs within 30 days.
- Cookies: We use minimal session cookies required for account login functionality. We do not use tracking cookies for advertising.
3. How We Use Your Information
We use the information we collect to:
- Publish your press release and make it available to the public, journalists, and search engines (including Google News).
- Send you a confirmation email when your press release is submitted or approved.
- Respond to enquiries sent via Telegram or email.
- Administer your optional user account.
- Prevent abuse and enforce our Terms of Service.
- Improve Site functionality and SEO performance using anonymised analytics data.
We do not sell, rent, or share your personal data with third parties for marketing purposes.
4. Public Nature of Press Releases
Please be aware that press releases — including the media contact information you provide (name, company, phone, website) — are published publicly on the Site and indexed by search engines including Google and Google News. Do not include information in your press release that you do not wish to be public.
Your submission email address is not displayed publicly on the Site. It is used solely for administrative communication regarding your submission.
5. Google Analytics
We use Google Analytics to understand how visitors use the Site. Google Analytics collects anonymised data about pages visited, session duration, device type, and general location. This data is processed by Google in accordance with Google's Privacy Policy. You can opt out of Google Analytics tracking by installing the Google Analytics opt-out browser add-on.
6. Third-Party Services
We use the following third-party services that may process data on our behalf:
- SparkPost: Used to send transactional emails (submission confirmations, admin alerts). Only your email address and relevant press release metadata are shared with SparkPost for this purpose.
- Google Analytics: Web analytics (see Section 5).
- Statcounter: Secondary web analytics for visitor statistics. Data collected is anonymised.
- IndexNow (Bing / Yandex): When you publish a press release, its URL is pinged to Bing and Yandex via the IndexNow API. No personal data is shared — only the public URL of your press release.
We do not use Facebook Pixel, advertising networks, or any other third-party tracking technologies.
7. Data Retention
Press releases are retained indefinitely as part of the public record unless you request removal. User account data is retained while your account is active and deleted within 30 days of an account deletion request. Server access logs are rotated and deleted within 30 days.
8. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access: Request a copy of the personal data we hold about you.
- Correction: Request correction of inaccurate data.
- Deletion: Request deletion of your press release or account data (subject to legitimate archival and legal interests).
- Objection: Object to processing for certain purposes.
To exercise any of these rights, contact us via Telegram: @jaycosta. We will respond within 30 days.
If you are in the European Economic Area (EEA), you also have the right to lodge a complaint with your local data protection authority.
9. Children's Privacy
The Site is not directed to individuals under the age of 13. We do not knowingly collect personal data from children. If you believe we have inadvertently collected such data, please contact us and we will delete it promptly.
10. Security
We implement reasonable technical and organisational measures to protect your personal data, including encrypted connections (HTTPS), password hashing, and access controls. However, no transmission over the internet is completely secure, and we cannot guarantee absolute security.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will update the "Last updated" date at the top of this page when changes are made. Continued use of the Site after any changes constitutes acceptance of the revised policy.
